AI Assistant Privacy Policy

The Freight Sidekick connector for AI assistants ("the App") provides freight shipping quotes inside ChatGPT, Claude, Grok, Muse and any other assistant or agent that connects to our MCP server, for shipments within and between the US and Canada. It also estimates freight class, plans pallets, looks up state size and weight limits, and answers questions about shipping with us from our published knowledge base. This privacy policy explains how Freight Sidekick LLC ("FSK," "we," "us," or "our") collects, uses, and protects your data when you use the App.

This policy applies to every assistant that reaches us through the MCP server, whichever company runs the assistant. Our general privacy policy is available at freightsidekick.com/privacy.

Data You Provide

When you request a freight quote through an assistant, we collect:

• Location Information: Origin and destination (US ZIP codes, Canadian postal codes, or city and state/province)
• Shipment Details: Freight items including weight, dimensions, freight class, quantity, package type, and description
• Service Preferences: Optional accessorial services such as residential pickup/delivery, liftgate service, or inside delivery/pickup
• Ship Date: Requested or estimated shipping date

When you use the App's other tools, we collect only what the tool needs: the item weights and dimensions for a freight class estimate, the box sizes for a pallet plan, the state for a size and weight lookup, or the text of a question about shipping with us. The App does not ask for your name, email address, phone number, or payment details, and none are needed to use it.

Data Automatically Collected

• Session Identifiers: A conversation ID and an ephemeral user ID when the assistant provides them (ChatGPT does; most others do not)
• Network Address: The address the request arrives from (the assistant's servers, or your own machine when you connect an agent directly), for rate limiting and fraud prevention
• User Agent: Browser/device information
• Tool Call Log: Which tool was called, its input, its outcome, when, and which assistant or access key made the call

We use the collected data to:

• Provide Freight Quotes: Generate shipping rates from our carrier partners; a shipment our rating partners cannot price automatically is priced by our team
• Process Quote Requests: Create and store quote records in our system
• Answer Questions: Estimate freight class, plan pallets, look up state limits, and answer shipping questions from our knowledge base
• Enable Booking: Pre-fill quote details when you choose to book on FreightSideKick.com
• Improve Service: Analyze usage patterns and optimize quote accuracy
• Prevent Abuse: Rate limiting and fraud detection

Third-Party Services

We share minimal data with the following services solely to fulfill your quote request:

• Carrier Rating APIs: Origin, destination, and freight details are sent to carrier partners to obtain shipping rates
• Geocoding Service: ZIP codes or city/state pairs are sent to a geocoding provider for location validation
• Hosting Provider: Our application and database are hosted on Vercel infrastructure

We Do Not

• Sell your data to third parties
• Share your data for advertising purposes
• Use your data to train AI models
• Share personally identifiable information without consent

• Quote Data: Kept as part of our quoting records so a quote can be picked up again on FreightSideKick.com; the rates in a quote are valid only for a limited time
• Tool Call Logs: Kept for abuse protection and to improve the App
• Storage: Data is stored in a PostgreSQL database encrypted at rest
• Backups: Retained for disaster recovery purposes

We implement industry-standard security measures including:

• Access Control: ChatGPT's and Claude's servers are recognized by their published network addresses; every other caller needs an API key we issued
• HTTPS/TLS: All data is transmitted over encrypted connections
• Rate Limiting: Protects against abuse and unauthorized access
• Access Controls: Database access is restricted to authorized personnel only

You have the right to:

• Access: Request a copy of your quote data
• Delete: Request deletion of your quote records
• Correct: Update inaccurate information in your quotes
• Opt-Out: Stop using the App at any time

Our App is not intended for users under 13 years of age. We do not knowingly collect data from children under 13. If you are under the age of thirteen, you must ask your parent or guardian for permission to use this service.

The App operates inside an assistant run by another company (OpenAI for ChatGPT, Anthropic for Claude, xAI for Grok, Meta for Muse, or whoever runs the agent you connect it to), and your conversation there is governed by that company's own policies, including how long it keeps conversation history. We only receive the shipment details or question you provide through the App.

We may update this privacy policy from time to time. The "Last modified" date at the top of this page will reflect the most recent changes. Continued use of the App after changes constitutes acceptance of the updated policy.
