Privacy Policy

Freight Sidekick LLC ("Freight Sidekick," "we," "us") arranges freight shipping through licensed logistics providers and carriers. This policy covers freightsidekick.com, the shipper dashboard, our assistant Allison (by web chat and by phone), the document-quote tool, and our text and email communications. Our ChatGPT app has its own short policy at freightsidekick.com/privacy/chatgpt-app.

We are a business-to-business service. We do not sell personal information and we do not share it for advertising. Your use of Freight Sidekick is also governed by our Terms of Use.

We collect:

• Contact and account details — name, company, email, phone, addresses, and billing preferences.
• Shipment details — origins, destinations, dates, freight, services, and the pickup and delivery contacts you give us.
• What you send us — messages to Allison or our team by chat, phone, text, or email; documents you upload; and anything you enter in a form.
• Technical information — described under Cookies and analytics.

We use it to quote and arrange your shipments, communicate with you about them, verify accounts and prevent fraud, run and improve the service, and meet legal and record-keeping obligations. We may tell you about other Freight Sidekick services; you can opt out at any time.

When a new account is opened we may verify the business using public sources, with the help of our AI provider. The result is an internal note for our team; it is not shown to you or shared.

Allison (chat and phone), reading shipment details from uploaded documents, and our ChatGPT app are assisted by artificial intelligence, using models from providers including Anthropic and OpenAI. When you use one of these features, the content you provide — your messages, what you say on the call, the document you upload — is sent to the provider so it can produce the response. That is the only reason it is sent.

Under the API terms of these providers, content we send them is not used to train their models. Conversations inside ChatGPT itself are governed by your own ChatGPT settings and OpenAI's policies. Their policies: Anthropic · OpenAI.

AI output is generated and can contain errors. It is provided as a convenience and is subject to our Terms of Use.

Calls with Allison are recorded and transcribed. The call tells you this at the start; by continuing after that notice you consent to the recording. We record so we can send you what you asked for, resolve any question about what was said, and improve the service. Calls are handled by our telephony and speech providers and stored privately.

If you would rather not be recorded, email support@freightsidekick.com or use the website instead.

A document or photo you upload is stored privately and read by our AI provider only to extract the shipment details. It is never public and never sold. Please upload only documents you are allowed to share with us. There is no fixed deletion window today; we will delete a document on request.

We text mainly with the carriers and drivers handling a shipment — booking details, status updates, photos of paperwork. These are conversations with our team, not an automated stream. If you are a shipper and give us a mobile number, we text you only about your account and your own shipments. We do not send marketing texts. Message and data rates may apply. Reply STOP at any time to opt out.

Mobile numbers and text opt-in information are not shared with third parties or affiliates for marketing or promotional purposes.

After a delivery we may ask you to rate the experience. A rating and comment may be published as a testimonial on our site with your first name and company, or as "Verified Customer." If you would rather it not be, say so in the comment or email us, and tell us at any time if you would like one removed.

We automatically collect technical information — IP address, browser and device type, the pages you visit, the site that referred you, and campaign tags on links you followed — to run the site, understand which pages and tools are useful, attribute where quotes come from, and detect abuse. We use first-party analytics and our hosting provider's analytics; we do not run advertising trackers.

We use cookies to keep you signed in, remember work in progress, and recognise a returning visitor. You can decline cookies in your browser; some features will not work without them.

This site is protected by reCAPTCHA and the Google Privacy Policy and Terms of Service apply.

We share information only with companies that help us deliver the service, and only what each needs. They are contractually limited to using it for that purpose:

• Logistics providers and carriers — the shipment details needed to quote, book, pick up, and deliver your freight.
• Rate, mapping, and load-board services — lane and freight details, not your identity.
• AI providers — as described under AI-assisted features.
• Telephony, speech, and messaging providers — to carry calls and texts.
• Hosting, storage, email delivery, and security providers — to run the service.
• Payment page provider — when we send you a payment link, card details go to them, not to us.

We may also disclose information if required by law, to enforce our terms, or to protect the rights, property, or safety of Freight Sidekick, our customers, or the public.

We keep information for as long as we need it to serve you, resolve disputes, and meet legal and record-keeping obligations. Account, quote, and shipment records — including the conversations, messages, recordings, and documents attached to them — are kept for the life of your account and as required afterward. We delete recordings and documents on request where we are not required to keep them.

Information is transmitted over encrypted connections and stored in systems that are encrypted at rest, access-controlled, and not publicly accessible. Access inside Freight Sidekick is limited to staff who need it. No system is perfectly secure; if we learn of a breach affecting your information we will tell you.

To access, correct, or delete your information, opt out of marketing, or have a testimonial removed, email support@freightsidekick.com. We will verify it is you, then act on the request; where a record must be kept for legal or accounting reasons we will tell you. Reply STOP to end texts. If your state or country gives you additional rights over your personal information, we will honour them.

Freight Sidekick is a business service and is not intended for anyone under 13. We do not knowingly collect information from children.

When we add a feature that changes what we collect or who we share it with, we update this page and the date at the top.
